About the Role
The Senior Payroll Specialist is responsible for overseeing and managing the organization’s end-to-end payroll process. This role ensures compliance with federal, state, and local regulations, processes multi-state payroll, audits records for accuracy, and works closely with HR and Finance departments to support payroll operations and reporting. The Senior Payroll Specialist serves as a subject matter expert and mentor for junior payroll staff.
Key Responsibilities
- Process weekly or bi-weekly payrolls for multiple entities or locations.
- Audit and reconcile payroll data, including hours worked, tax withholdings, and benefit deductions.
- Maintain payroll records in accordance with company policies and government regulations.
- Resolve payroll discrepancies and respond to employee inquiries in a timely and professional manner.
- Prepare and submit payroll reports for internal and external stakeholders.
- Assist with year-end activities, including W-2 processing and annual reconciliations.
- Ensure compliance with labor laws, tax regulations, and internal controls.
- Partner with HR and Finance teams for payroll-related audits and reporting.
- Train and support junior payroll staff; review their work for accuracy and completeness.
- Identify opportunities to streamline and improve payroll processes and systems.
Qualifications
- Associate or Bachelor’s degree in Accounting, Finance, or related field preferred or 4+ years of experience in payroll processing, with at least 2 years in a senior or lead role.
- Proficiency in payroll systems such as Sage 300 CRE & UKG.
- Proficiency in Crystal Reports
- Strong knowledge of payroll best practices, tax laws, and wage/hour regulations.
- Excellent organizational and time management skills.
- High attention to detail and ability to handle confidential information with discretion.
- Strong analytical and problem-solving abilities.
- CPP (Certified Payroll Professional) certification is preferred but not required.
